Employee Management Documentation
Add Employee
Click the Add Employee link in the Employees toolbar to add a new employee. Add in their ID, First and Last names.
The ID must be unique to this employee. An error will result if the ID is not unique.
After the record is created the rest of the employees information may be entered.
Employees may be mass imported using the Import Employees option in Configuration, Import/Export Data.
Availability
Restrictions are created in Blocks under the availability tab of each employee. When an employee is scheduled during a time where they have a restriction a notice will be provided in the Schedule.
Restrictions are 'soft' - the schedule will still allow you to schedule an employee during the restricted time, a notice is presented at the top of the schedule when this happens.
Contact
Employee contact information is available on the contact card. This human resources information can be used to whatever purpose.
The contact tab also provides for selection of a Manager or Team Leader for this employee.
The final option on the contact tab is the Active status, if an employee is active or inactive.
Events
Events are tracked and aggregated on a monthly basis in the Events tab. Click on a month to view the specific events that occoured during that month.
The LATE event is created automatically when an employee is more than five minutes late for their shift.
SICK and OFF, and NCNS events are created manually - these three events will display under the 'Scheduled' column in the timesheet for Realtime Adherance use.
Payroll
Payroll history for this employee is available. A sum of hours for each time slice is available here for tracking down any issues. Note that unapproved payroll data also shows in this tab, the final few days of information should always be double-checked to ensure the data has been approved and exported.
Schedule
History of scheduled shifts for this employee. Schedule information can be very useful for determining when an employee changed shifts or how often they have been scheduled to work in the past year.
This information can also be found by using the schedule and going through each day, the Schedule tab makes it easier to find.
Skills
Employee skills allow you to define things like languages spoken, level of training, departments this employee can work in, etc..
The skills are customizible in the Configuration tab.
Employees with the Manager skill will display in the dropdown list for Manager in the contact tab.
Overview
Employees within your organization are listed here. Double click an employee to bring up their information card.
Changing tabs through Contact, Skills, Events, Schedule, Payroll and Availability will show different information for each employee.
The Filter at the bottom of the list will allow for viewing all employees, active employees, or inactive employees only.
